Count by item and variant, not only by room
Use the floor plan and furniture schedule together. Separate left- and right-hand versions, different table sizes and upholstery choices even when they share a family name. Record quantities for each area and sum them into purchasing totals. A single unstructured number makes it harder to catch missing pieces and easier to send the wrong version to a room or department.
Ask what drives the minimum order requirement
A minimum can relate to material purchasing, a finish batch, a component or the economics of setting up production. Ask the factory to explain which restriction applies to the proposed item. Then compare options such as a shared fabric, a standard component or a different construction. Do not assume that combining unrelated products automatically satisfies a minimum for a particular material.
Specify spare items as a separate decision
For illustration, eight meeting rooms with ten chairs each require 80 operational chairs. If the operator approves six additional chairs for replacement or flexibility, show a purchase of 86 with six marked as spares. Consider storage space, future availability and replacement practicality before choosing the number. There is no universal spare percentage suitable for every item or commercial operation.
Reconcile quantity changes before the order is released
Keep the room schedule, factory order and packing plan consistent. If the client removes an area, recalculate all affected pieces rather than subtracting an approximate furniture allowance. Confirm whether the revised quantity changes unit pricing or production terms. For phased projects, decide whether the whole quantity is manufactured together or released by phase, and record who holds any completed stock.
Project checklist
Before you approve
- Separate every size, finish and handed variant.
- Ask which production factor creates a minimum.
- Approve spare quantities and their storage location.
- Reconcile the order with the latest area schedule.
A useful question
Can a small project include custom-made furniture?
It may be possible, depending on the item and factory’s production requirements. Share the quantities and specifications first. We can discuss suitable alternatives, but we do not promise that every design is practical at every quantity or recommend extra purchases simply to reach a headline minimum.
