Define each phase as a complete working area
List the rooms or spaces included, the required furniture and the date the area must be available. Identify shared items such as reception furniture that support several phases. Check whether temporary furniture or an interim layout is needed. A phase should have a clear operational purpose; grouping items solely by whichever factory finishes first can leave the site with an incomplete area.
Choose how production and storage will be organised
Compare making the whole package together with manufacturing by phase. Consider finish consistency, available storage, handling, material availability and the effect of later design changes. Confirm who will hold completed goods and on what agreed basis. Do not assume the factory or consolidation provider will store furniture indefinitely without an arrangement, or that every future batch will be immediately available.
Use a phase matrix to prevent double ordering
For an illustrative three-floor office renovation, assign every desk and chair to a floor and phase while keeping the common item code. Record ordered, manufactured, dispatched and received quantities separately. If the second floor is delayed, move its delivery date rather than duplicating the purchase line. Reconcile the phase totals to the overall approved order whenever the plan changes.
Protect the finish reference and site handover
Retain approved samples and record the exact material and finish references for later phases. Review any proposed substitution before it reaches production. At each handover, confirm access, receiving personnel, storage space and installation responsibilities. Record shortages or damage against the phase and item code. A later phase should begin with a clear account of what the earlier phase received and what remains outstanding.
Project checklist
Before you approve
- Give every phase an area and item schedule.
- Agree production timing separately from dispatch.
- Document storage responsibility and conditions.
- Reconcile received quantities before the next release.
A useful question
Can you support a renovation that stays partly operational?
We can review a defined furniture package with phased delivery requirements. The site team must confirm access, receiving and operational constraints, and we assess the coordination work against our capacity. We currently do not accept huge programmes; a manageable scope allows clearer follow-up and responsibility.
