Define what is being brought together
Start with the factory list, collection locations, package counts, dimensions, weights and expected release dates. Identify fragile items, special handling needs and any goods that should not be stacked. Confirm whether the plan combines all orders or only a defined first phase. An accurate inventory is essential: a statement such as “the furniture is ready” gives a logistics provider too little information.
Agree receiving and storage responsibilities
Name the party receiving the goods, the checks performed on arrival and the record used to note shortages or visible damage. Confirm storage conditions, access arrangements, charging basis and responsibility for additional handling. Decide whether cartons will remain sealed or be opened for an agreed check. Unpacking can reveal an issue but can also require repacking and change the ready-to-load date.
Compare waiting with a split shipment
If one manufacturer is late, calculate the operational effect of waiting rather than looking only at the freight invoice. Completed goods may need storage while the site waits for critical furniture. Conversely, a split shipment can create extra transport and receiving work. Ask for a written comparison using current quotations and a named decision deadline; do not assume consolidation is automatically cheaper.
Release against a reconciled packing list
Before loading, reconcile received packages with the approved shipment list and document exceptions. Keep items held for correction clearly separate. Record who authorizes release and which documents the freight provider needs. Maintain an item-to-package reference so the destination team can locate goods without relying on a factory contact being available during unloading.
Project checklist
What to prepare
- Factory readiness dates and actual package information.
- Receiving, storage and additional handling arrangements.
- A decision deadline for late or incomplete orders.
- Final packing list and written authority to release.
A useful question
Can orders from different Chinese cities travel together?
Often this can be arranged, subject to the goods, collection locations and transport plan. Compare domestic collection costs, time and handling with separate dispatches. The practical meeting point should be selected with the logistics provider after the order details are known.
